Songea Urban Water Supply and Sanitation Authority (SOUWASA) is an Autonomous Government Agency operating under the Ministry of Water and Irrigation. It was established on 1st July, 1997 under Act NO.8 Of 1997 and later on strengthen by Act No. 12 Of 2009. SOUWASA is charged with the overall responsibility of operations, maintenance and management of Water Supply and Sanitation services within Songea Municipality.

Essential Duties and Responsibilities
Checks outgoing letters to ensure they have no typographical errors.
Checks letters to ensure they are signed by relevant desk officers.
Checks flimsy file to ensure it is circulated to officers concerned in good time
Ensures that all incoming letters are stamped.
Ensures that all received /outgoing letters have all the attached documents referred to.
Develops individual performance objectives, targets and standards in consultation with the immediate superior as part of the individual performance agreement.
Performs any other, duties related to the above assigned by a Human Resource officer

Minimum Qualifications Required, Competency and Experience .

Must be Tanzanian citizen
Holder of Holder of National Form IV with a Diploma in Records Management or equivalent quajificatlon from recognized institution,
Relevant working experience of at least two (2) years
Computer literate.
Good command in English and Kiswahili (Written and Verbal)

Maintains a record of file movement

Circulates flimsy file to concerned officers,
Handling clients with courtesy.
Keeping, maintaining and controlling visitors register and records and issuing a gate pass if necessary.
Performs any other duties related to the above assigned by Human Resource and Administration Officer.

Minimum Qualifications Required, Competency and Experience

Job Vacancy: Records Management Officer

Job Purpose

  1. The Job Holder will work in the Human Resources Department and report to the Manager, Human Resources.
  2. He/she will be involved in all matters related to Records Management including implementation of the Records Management Policy, reviewing the reliability and integrity of records, maintenance of all records and providing support to functional units in managing their records effectively .
Key Responsibilities
  • Advise management on appropriate records management system as well as creation, maintenance and use of electronic records.
  • Maintain a comprehensive file classification scheme and indices for bank's records.
  • Provide technical support in the review and maintenance of the records management system for proper management of records created through electronic media.
  • Design and maintain rules and regulations which define access to the records center and retrieval of records.
  • Ensure that departmental records management staffs are familiar with the procedures regarding the effective management of the records.
  • Advise appropriate technologies for selected bank records and developing an appropriate management policy and procedures.
  • Ensure that records retention and disposal schedules are regularly updated and complied.
  • Verify the authenticity and origin of records material and appraising for retention.
  • Ensure that proper storage facilities of records in all forms are put in place and control the security of all confidential mail.
  • Maintain paper and electronic records of all transactions according to procedures.
  • Provide direction and supervision of dispatch services in so far as the movement of mail, files and related documents are concerned.
  • Perform any other related duties as may be assigned by the Supervisor from time to time.

Qualification, Knowledge and Experience

Essential

  • Diploma in Degree in Records Management.
  • Possession of a Degree will be an added advantage .
  • At least 3ryears relevant experience in its related field
  • A good knowledge of principles of Records Keeping.
  • High level of integrity.
  • Ability in handling multiple tasks in a busy office.
  • Good communication and interpersonal skills.
  • Must be a team player and very self-motivated
  • Must be computer literate
Preferred
  • Ability to maintain confidentiality of information.
  • Ability to maintain both paper and electronic records effectively.
  • Ability to process files 'classification scheme and indices.

JOB SUMMARY
Responsible for leading, controlling and managing the Agency’s records; manage

· Advises Management on adequacy of documentation and creation and

· Works closely and proactively with all registries within the Agency to ensure

· Participates in Agency capital planning process for all major information
systems to ensure that records management functionality appropriate to the

· To advise program Officer and IT members on metadata requirements
necessary to achieve this functionality.
· Works with the all heads of Division to build records management functionality
into the Agency enterprise architecture and to ensure all Agency information
systems incorporate records management functionality appropriate to the
records/information assets they support.
· Formulates and oversees the implementation of Agency policy and guidance
for record-keeping in accordance with the Agency strategic plan.
· Plans, organizes, directs, reviews, coordinates, and establishes controls for all
Agency records activities.
· To ensure that Agency personnel are knowledgeable and kept current about
records management principles and requirements, and that they receive
records management training appropriate to their needs.
· To direct all staff of records management professionals responsible for the
implementation of the records management program.
· To perform any other related activities assigned by Superiors.

QUALIFICATION AND EXPERIENCE
Bachelor Degree in Records Management or Advanced Diploma in related field.
At least six years’ experience progressively responsible in Records management.
Should be computer literate and must have attended computer course in Windows,
Microsoft Office, Internet, E-Mail and Publisher.

KNOWLEDGE, SKILLS AND ABILITIES
· Good knowledge of how storage systems work you’ll almost certainly need to
have good computer skills and experience of records management system,
perhaps learnt at a basic level and working your way up
· Professional recruitment, coaching and performance skills.

Job Purpose:
To oversee activities relating to mail receipt and delivery systems in the mail room in order to facilitate decision making and achievement of strategic objectives of the Bank.
a) Overseeing staff and procedures to ensure all incoming/outgoing mail, parcels and internal mail are delivered in the required time frames;
b) Ensuring that all expedited mail are promptly delivered within set guidelines;
c) Co-ordinating and overseeing processing of mail and parcels – receiving, sorting, opening, scanning and distributing incoming mail/parcels and processing outgoing mail/parcels;
d) Receiving and, where appropriate, signing for all mail and parcel deliveries to the Bank, including logging all courier and special deliveries received;
f) Ensuring items are signed for on final receipt as appropriate;
g) Developing and implementing relevant procedures to facilitate easy receipt and delivery of mails;
h) Contributing to the development and implementation of operational strategies associated with document and records management;
i) Ensuring all urgent items are treated as such and managing exceptional deliveries as instructed;

Education/Professional Qualifications Required:
a) Ordinary Diploma in Records and Archives Management from an accredited institution;
b) Sound knowledge of records management, including the national legislationsrelevant to records management;
c) Proficiency in computer applications;
d) Self-motivated and able to prioritise and manage workloads to meet deadlines;
e) Strong interpersonal skills;
f) Ability to deal with sensitive issues and maintain high level of confidentiality at all times;
g) Ability to work independently and under pressure.

Required Qualification

Duties and Responsibilities
(i) Receives correspondence and files sent by dispatch book.

(viii) Re-addresses mail and answers questions on dispatch, postage and postal procedures and regulations.

Records Management Assistant I - 1 Post

On behalf of The Social Security Regulatory Authority (SSRA), Public Service Recruitment Secretariat invites qualified Tanzanians to fill the following vacant positions;

RECORDS MANAGEMENT ASSISTANT I - (1 POST) 

REPORTS TO: THE HUMAN RESURCES AND ADMINISTRATION OFFICER

DUTIES AND RESPONSIBILITIES
• Monitor file movements;
• Prepare file index and other facilities in order to simplify the availability of documents;
• Analyze and classify records in specified categories;
• Monitor correspondences;
• Maintain an updated diary and records for files movements;
• Receive in-coming mail and records it in relevant registers;
• Perform any other duties as may be assigned by the superior.

QUALIFICATION AND EXPERIENCE
• Secondary Education certificate plus ordinary Diploma in Records Management or any other recognized College/Institution.
• At least three (3) years working experience in the relevant field.

REMUNERATION
• Attractive remuneration package in accordance with the Institution’s Salary Scale.
