Logistics Officer

GLOBAL FUND: Logistics Officer

ROLE PURPOSE:
Under the guidance and supervision of the Finance and Grants Specialist, the Logistics Officer is responsible for efficient and effective provisions of logistical supports to the Global Fund (GF) Programme. He/she will provide day-to-day support to the GF programme team with the administration of all logistical matters. He/she will be responsible for preparing quarterly progress reports and tracking delivery of procurement of goods and services. He/she will also be responsible for adequacy and completeness of documentation and compliance to terms and conditions of the GF contract.

SCOPE OF ROLE:

  • Reports to:  Finance and Awards Specialist
  • Dimensions: Global Fund funded HIV/TB Project
  • Staff directly reporting to this post: 1Driver


KEY AREAS OF ACCOUNTABILITY:

  • Procurement of goods and services for GF programme
  • Manage local procurement activities, prepare Bid Analysis, carry out market survey, review item specifications in line with the Global Fund rules and regulations and Save the Children policy and procedures
  • Ensure timely logistical and administrative arrangements and coordination for all workshops, seminars and training activities relating to Global Fund Project
  • Liaise with the Government Principle Recipient t of Global Fund grant on procurement of project supplies, ensure its quality and timely delivery to Save the Children (SC’s) Sub-Recipients (SRs) for distribution to the beneficiaries
  • Ensure custom clearances for items procured abroad in line with local legislatives, donor rules and regulations and Save the Children procurement policy and procedures
  • Manage communication with SRs and SC team (finance and programme) regarding items selected, lead time, delivery status, mode of payments, etc
  • Using procurement trackers, ensure that all procurements requested have been completed and delivered to the intended project implementation areas
  • Monitor Assets procured from GF grant and ensure its utilisation for the project
  • Carry out verification of assets during the SRs visit and report any discrepancies to the Finance and Awards Specialist
  • Review SRs procurement activities to identify bottlenecks within their procurement systems and propose actions to mitigate potential risks
  • In coordination with the Compliance Coordinator, verify distribution of Gifts in Kind to beneficiaries by SRs in compliance with the donor rules and regulations
  • Ensure monitoring visit report has been submitted to the Global Fund team and all action points or recommendations are followed up and implemented
  • Documentation and periodic reporting on procurement and utilisation of goods and services
  • Ensure that adequate, timely and complete documents are submitted to the finance department for payments to suppliers and service providers
  • Assist the SRs in the management of reporting systems, data collection and their understanding of logistics procedures, processes and reporting requirements
  • Ensure stock reports submitted by SRs are complete and accurate
  • Ensure supporting documents are adequately and systematically filed (e.g., stock report, donation certificate, disposal certificate, etc.,) for future audit, LFA verifications and for reporting to the donor.

QUALIFICATIONS AND EXPERIENCE:

  • A degree in business administration or social sciences
  • Minimum five years’ experience in providing similar logistical support in NGO or private sectors
  • Experience of general administration work
  • Strong communication and interpersonal skills
  • Ability to manage a complex and diverse workload and to work to tight deadlines
  • Ability to contribute to a small, proactive team and working collaboratively with colleagues and providing support and advice as necessary
  • Willingness and ability to dramatically change work practices and hours, and work with incoming surge teams, in the event of emergencies
  • A full appreciation of the value of co-operation, both internationally and within a team environment.
  • Understanding of Save the Children’s vision and mission and a commitment to its objectives
  • Proficiency in Microsoft Office products (Word, Excel, Outlook, Power Point and Access)
  • Written and verbal fluency in  English.

Logistics Assistant

Position: Logistics Assistant, CBHTC+ Teams (2 for each region)
Job Sites:  Iringa, Njombe,Dar es Salaam, Mbeya, Mwanza.

Job overview: 
Works in collaboration with the mobile CBHTC+ team (and regional and district authorities) to manage team logistics, acquisition of necessary commodities for the team, and coordinates medical waste in their assigned region.

Required Qualifications:
·    Bachelor degree or advanced diploma in business administration, logistics, materials management or related training.
·    Demonstrated experience in the operations management, preferably for a USAID-funded program.
·    Knowledge and experience in accounting, administration and operational practices, including use of computer software related to those functions.
·    Demonstrated interpersonal, written and oral communication skills.
·    Demonstrated ability to be goal-oriented, flexible and capable of managing multiple priorities.
·    Computer skills including demonstrated experience with MS Word, MS Power Point, and MS Excel.
·    Proficiency in both written and spoken English and Kiswahili.
·    Must be willing to be based in Dar-es-Salaam, Mbeya, Mwanza, Iringa and Njombe with extensive (weekly) travel.  Must be willing to work off and unusual hours. Travel up to 80% of the time.
·    Must be physically fit to assist with set up and break down of services in sites.
·    Must demonstrate self-management (i.e. motivation, dealing with pressure, adaptability)
·    Highly flexible to accept dual roles and extra tasks as assigned by the team coordinator

Logistics and Warehouse Officer at Atlas Copco

Position: Logistics and Warehouse Officer, Buzwagi
Company: Atlas Copco Tanzania

Mission
Support Atlas Copco service operations through effective management of stock of spare parts, consumables and components in order to achieve targets for:
• Maximising Equipment availability
• Minimising Operating costs
• Minimising Working capital

Specific Activities
1. Stock planning, quotation preparations and order booking to various Atlas Copco sources
2. Arrange received parts and components in the warehouse in order to achieve proper preservation, good housekeeping and easy access for issuing in accordance with proper safety observations
3. Issue Spare parts and components to Atlas Copco service staff against authorised requisitions.
4. Maintain records of items issued both electronically and in hard copies. Raise internal or external invoices (as required) for items issued.
5. Stock Management Functions including:
a. Preparing consumption reports.
b. Preparing re-order reports.
c. Expediting reports.
d. Coordinations with Logistics Service Providers for shipments and clearing of consignments.
e. Carrying out planned and ad hoc stock take.
f. Goods transportation planning both local and indent consignment
g. Stock returns.
h. Ensuring safety of stock.
7. Maintain high standards of workman ship and observe safety and environmental
requirements.
8. Other Duties as may be assigned by the Warehouse and Logistics Supervisor or Atlas Copco Management

Experience requirements
At least 2 to 3 years of experience in Logistics and Warehouse, particularly experience within mining industry will be an asset

Educational requirements
- University graduate or advanced diploma in Engineering or Material Management
- Computer skills are a must

Personality requirements
- Team player
- Excellent communication skills and proactive
- Must be willing to relocate and travel to any work site/Branch on temporary job assignments

Driver & Logistics officer

TCCIA Manyara is looking for a Driver/Logistics Officer 

Working station : TCCIA Office in Babati, Tanzania 
Starting date : 1st of October 2014 
Duration : 2 years & renewable 


TCCIA (Tanzanian Chamber of Commerce, Industry and Agriculture) is a membership organization of entrepreneurs. The branch for Manyara region was founded in 2004, but nation-wide the organisation has been in existence since 1988. Its core-business is to lobby and advocate on behalf of its members, to strengthen the capacity of its members through training as well as to link them to financial institutions and investors. TCCIA Manyara operates in all 5 districts of Manyara region. 

Context of the Job: 
This position combines two functions: Driver & Logistics officer. The candidate should be able to perform logistical duties, and also be a driver for TCCIA Manyara office. 

Tasks & Responsibilities: 
Transportation 
1. Driving project car to the field 
2. Fuelling of office car 
3. Maintain and control of logbook (Properly filled in) 
4. Responsible for vehicle road license and insurance 
5. Timely maintenance and repair of office car under his capacity 
6. Purchasing of tyres and spare parts 
7. Ensure vehicles are clean and in good order 

Logistics 
8. Collecting and sending documents 
9. Payment of bills e.g. NSSF, TTCL, TRA, Postal, Tanesco, Water and Salaries. 
10. Minor maintenance of office equipment 
11. Perform any other duties as directed by your supervisor (Executive Officer) 

Job requirements: 
1. Certificate of any recognized driving institute 
2. Have a valid driving license 
3. A minimum of 2 years relevant work experience 

Required profile: 
1. Good driving records (no accidents) 
2. Familiar with Manyara region 
3. Knowledge and skills in (basic) car mechanics is an advantage 
4. Must be flexible in terms of working hours and location (ready to travel regularly away from Babati) 
5. Good communication, inter-personal skills and attitudes;
