We seek to recruit a HR & Administrative Assistant to continue offering distinctive ship agency services to all our customers. The position is based in Dar es Salaam, Tanzania
Duties and responsibilities Staff Records Management Ensure all staff files are up to date, accurate and in the right format. Confidentiality of all employee records. Daily filing of all related employee documents. Ensure all employees have the statutory information. Ensure all files have company requirements.
Staff Welfare Ensure adequate provision of safety gears Ensure a clean and habitable work environment Ensure provision of hygienic kitchen and consumables. Attend to all employee inquiries for services. Employee counseling and guidance. Handle employee matters as per labour laws. Ensure staff quarterly meetings are held. Procurement of employee working tools.
Company Medical Cover Management Ensure all employees are in the company medical cover. Correspondences to medical cover providers for any medical matter that may arise like refunds, admissions, operations Timely renewal of medical cover.
Human Resource Information Management System (HRIMS) Ensure all employee data is accurately inputted in the system Update of all policies in the system. Ensure any corrections, changes and amendments are done
HR Committee participation, facilitation and functions Spearhead activities of First Aid Committee Spearhead CSR Activities Ensure all procurement adhere to the set procedures. Ensure disciplinary functions. Review these functions and changes required.
Safety & Health management Compliance to the OSHA Act, Tanzania. Conduct OSHA audits Sensitize employees on safety and health matters.
Reports Timely submission of monthly reports Conduct employee surveys e.g. satisfaction levels
Administrative duties Procurement of office supplies Ensuring habitable work environment Ensure work equipments are well functioning Responsible for Petty cash management Maintenance of administration files Renewal of company trade licence, post office and office compliance as per government regulations Management of staff travel Supervision of contracted staff
ICT duties Provide ICT systems user support in liaison with ICT department Troubleshoot and identify hardware/software problems and ensure prompt resolution Assist in maintenance of ICT infrastructure including software, hardware, network printers, LAN and WLAN
General Duties Ensure employees attend trainings as per the calendar. Staff meeting coordination. Analysis of policy performance and review where necessary. Adherence to exit procedures of the company. Annual membership for Association of Tanzania Employers (ATE) Any other duty assigned by management.
