Administrative Assistant

Position: Administrative Assistant
Reporting to:  Operations Manager

Chemonics International is implementing the Tanzania Capacity Development for Partners of Accountability (CDPA) project. The primary objectives of this contract are to:

1) Strengthen the capacity of USAID/TANZANIA partner sector CSOs to be strong organizations of advocacy, well networked at the grassroots level and able to inform and equip citizens to engage with their government;
2) Provide technical support to USAID in its management of civil society grant activities;
3) Strengthen the capacity of Government of Tanzania Institutions of Accountability to package  information, employ a cohort of civil servants with a common understanding of ethics, procurement, auditing, and good governance rules, and generally perform activities under their assistance agreement with USAID/Tanzania.
4) Facilitate constructive engagement between CSOs and IoAs.

Tasks and Responsibilities:

  • Provides administrative support to the project and assists Office Manager with book keeping
  • Provides data entry and data collection services as necessary.
  • Develops and maintains required administrative office systems
  • Assists the Office Manager in handling the petty cash account
  • Prepares all necessary administrative forms for project-related items
  • Oversees the purchase of office supplies
  • Arranges for and oversees the maintenance of office equipment
  • Maintains tracking systems, such as inventory
  • Supervises the maintenance of the project's filing system
  • Supervises the preparation, receipt, distribution, and filing of all incoming and outgoing written project communications such as the daily email
  • Performs other administrative tasks assigned by supervisor to ensure efficient and smooth support to the project
  • Coordinates the work of other support staff, such as secretaries and drivers, to meet the administrative needs of the office
  • Serves as liaison with home office as needed
  • Performs orientation for short term consultants on field office procedures
  • Performs other tasks as assigned by either the supervisor or the home office project management unit

Qualifications:

  • Bachelor’s degree in English or related field.
  • 2-5 years administrative experience preferred.
  • Ability to write and verbally communicate clearly and concisely.
  • English language proficiency required.
  • Attention to detail and solution oriented attitude.
  • Strong administrative skills.
  • Strong computer spreadsheet/word processing skills. Microsoft office suite familiarity.
  • Ability to work both independently and in a team.
Duration of Assignment: Life of Project
Location of Assignment: Dar es Salaam, Tanzania
