Job Title: Program Assistant
Salary Grade: 3
Reports to: Regional Program Manager
Location: Dar es Salaam, Tanzania
Start Date: As soon as possible
Overall Responsibilities
Support the Tanzania Program team to effectively achieve its goals and deliver on its outputs and work plan; and support the Regional Program Manager.
Specific Responsibilities
1. Support program team to develop and implement annual, quarterly and weekly plans and budgets.
2. Ensure all files and documentation – including contracts, proposals, and reports for the Tanzania, Kenya and Uganda Programs – are well organized digitally as well in hard copy and regularly updated.
3. Ensure that invoices (payment vouchers) are processed for payment on time and are well documented;
4. Assist in closing the documentation cycle in contract management and payment processing.
5. Support the systematic distribution of Tanzania Programs materials.
6. Assist with the review of key documents, contracts and management reports reaching for quality, accuracy and compliance with policies and systems, and advise accordingly.
7. Draft letters and undertake basic correspondence on behalf of the Tanzania Program.
8. Ensure meetings with Twaweza Program partners are well organized, with travel arrangements and related documentation finalized and sent on time.
9. Assist in collecting data from partner organizations for monitoring purposes, and entering such data;
10. Support program team and other management level staff upon request of the Regional Program Manager or Tanzania Program Manager.
General Responsibilities
1. Successfully implement above responsibilities and assigned activities (and associated budgets) in
work plans, consistent with Twaweza Policies
2. Contribute effectively to planning, monitoring, reporting and information dissemination of Twaweza’s work
3. Comply with and foster adherence to the established Twaweza policies, regulations, guidelines and procedures.
4. Participate actively in organization-wide learning and other joint activities
5. Undertake any other lawful tasks as may be assigned by the Supervisor.
Core Qualifications
1. Bachelor’s degree in a relevant field
2. At least two years’ experience related to your responsibilities
3. Very good writing skills in English and Kiswahili with keen attention to detail
4. Basic knowledge of development and governance issues
