Volunteer and Visitor Coordinator

TST believes in building and supporting happy families, in all of their various shapes and forms. We create care plans for orphaned and vulnerable children and families in the Meru district of Tanzania, and offer the Meru district alternative assistance to orphan care that works to strengthen families and empower families. Working with the local community, we bring together small acts from around the world to create big change.


We are currently looking for a bright and energetic Volunteer and Visitor coordinator who will be able to work with our team in Nkoaranga and manage all volunteer and visitor flow. This is an excellent opportunity for someone proactive who thrives in social situations, and loves meeting individuals from all walks of life!

We are situated on the verdant slope of Mount Meru in a closely knit village called Nkoaranga hemmed in by banana trees and blue skies. Karibu sana!


KEY RESPONSIBILITIES:

Visitor Communication and Social Impact Tour Support (30%)

*Develop and document all policies and procedures relevant to social impact operations in alignment with TST’s annual goals and policies
*Assemble and analyze relevant visitor data, and prepare and deliver weekly, monthly, and other reports as requested, detailing all visitor and social impact activities
*Ensure visitor performance targets are met and tracked via the development and implementation of a broad system of departmental performance metrics, reports, and tracking systems
*Manage and continue to develop TST social impact tours full cycle and serve as primary point of contact for all external/internal stakeholders
*Research, identify and send out communications to potential impact partners. Nurture and convert all qualified leads
*Onboard all potential partners and manage communication channels between partners, guests, remote staff and local staff
*Implement creative ways to improve our partner relationships, site tours and guest experience
*Develop and manage on site guest accommodation component of site tours with support from Deputy Director
*Assist Development director with post visitor communication and stewardship
*Provide all major donors and visitors personalised tour with full orientation

Volunteer Coordination (30%)

*Set up logistics for all individual volunteers, visitors and school groups who come to TST, including making budgets and creating itineraries
*Manage all incoming volunteer and intern applications and correspondence
*Assist in program and curriculum development for school groups
*Ensure all volunteer, visitor and school group visits run smoothly
*Maintain operational upkeep of TST Compound
*Source and enable the provision of the day care programme, and social work interns-recruiting volunteers when necessary and appropriate from abroad
*Check in and obtain actionable feedback from all volunteers and visitors throughout their stay

Note: Direct management of volunteers’ day to day work activities will be provided by relevant program staff, volunteer coordinator is only responsible for orientation, facilitation, and accommodation.

Social Media and Post visitor communication (30%)

*Collect social media content with support from education coordinator for social media/sponsorship usage and provide regular updates on all social media accounts that showcase life in Nkoaranga for donors, sponsors and visitors
*Assist with collation of sponsorship materials and work with Deputy Director on quarterly newsletter content and creation
*Provide support with video check ins and other ad hoc communication tasks, as necessary
*Assist team with copy editing documents as needed
*Support scheduling of speaking engagements, and assist partners in promoting events
*Monitor and log incoming communication and media coverage

DESIRED QUALIFICATIONS

*Native English speaker, or equivalent level of written and spoken fluency
*Bachelor's Degree
*At least 1 year experience in visitor/customer facing role
*Ability to establish and maintain working relationships with staff, volunteers, and people from diverse backgrounds
*Experience using Microsoft Office products like Word, Excel, SharePoint Designer, and PowerPoint
*Graphic design, photography and experience creating engaging content
*Comfort with public speaking and ability to confidently communicate with groups
*Experience working in a developing country, preferably in East Africa
*Proficiency in Swahili is preferred but willingness to learn is essential!
