HUMAN RESOURCES AND ADMINISTRATIVE OFFICER II (ONE POST)
Answerable to Senior Human Resources and Administrative Officer
Qualifications
- Holder of a Bachelor Degree/Advanced Diploma in Public Administration, Business Administration, Law, Human Resources, Management Education, or its equivalent from a recognized University/Institution.
- Must be holder of Diploma in Secretarial Services from a recognized Institution.
- At least three (3) years working experience
- Must be computer literate
Duties & Responsibilities
- Ensuring that incoming and outgoing mail are properly handled by the registry
- Designing and overseeing implementation of visitors handling procedures at Managing Director’s Office.
- Ensuring that the Centre’s telephone exchange operates effectively
- Implementing the staff regulations and administrative procedures of the Centre.
- Handling letters and other documents of Managing Director
- Ensuring proper office keeping at Managing Director’s Office
- Typing and word-processing various documents and electronic information at Managing Director’s Office
- Communicating and providing information by relevant methods internally and externally to assist and enable organizational operations and effective service to connecting groups
- Interpreting instructions and issues arising, and then implementing actions according to administrative policies and procedures
- Receiving and answering fax/telephone calls/intercoms at Managing Director’s Office using a professional and courteous manner and directing them to the appropriate places.
- Filing minutes, correspondences and other documents and maintaining files in secure custody places using laid down office procedures
- Handling visitors; ascertain the nature of their business and relay information to the executive concerned.
- Handling diary of appointments, meetings, occasions, official traveling and other scheduled activities for the executives and inform/remind them before and on due date.
- Supervising subordinates on routine basis.
- Take dictations and transcribe accordingly
- Attend routine hotel and travel arrangements of the executives
- Making decisions on routine matters that need not be referred to his/her superior
- Replying correspondences regarding routine issues which require standard information, with added responsibilities on decision making and problem solving that need not be referred to his/her superior
- Composing correspondence, reports, forms, and other documents independently or from transcribing machines, notes, or general instruction
- Drafting simple letters and other correspondence of routine nature accepting or rejecting invitations, acknowledgements, etc.
- Guiding and training subordinates on their work.
- Handling incoming mails for personal attention of the relevant executive and ensures that information and correspondences are effectively circulated and managed.
- To prepare and facilitate internal meetings, process records of the proceedings and follows up action taken.
- Filing classified letters and other important documents, retrieve records and correspondences and keeps sensitive material in confidence when required.
